Adding and sending a photo or picture using teams

Microsoft Teams is one of the best business communication apps for sharing images and other content across an organisation. It’s an easy to use app that’s easily integrated with other Microsoft products.

You can easily access dozens of file types stored both on your computer and SharePoint or OneDrive accounts. Microsoft designed Teams to let you share image(s) of up to 250GB in size to 250 people in a single Team.

For these reasons, it’s one of the best business communication applications for sharing large attachments over a team, department, or an entire small to medium enterprise(SME).

Microsoft Teams

Microsoft Teams is a business messaging and video conferencing application. Microsoft designed this app specifically for business communications. So it has many advanced features, including video conferencing, voice over internet protocol (VoIP), and sending images and videos. So it’s a top collaboration tool for businesses.

Many Australian SMEs already use Microsoft teams for collaboration among team members. But it’s most commonly used for teams who are already using other Microsoft products, like office 365 and Sharepoint. Microsoft Teams is also built-in with Windows 11, so your company’s computers probably already have it.

Sending Media over Teams

One of Microsoft Teams’ best features is that you can easily send pictures over it, just like you would on chat apps like Whatsapp or Skype. You’re limited to 10 attachments, but there’s no hard limit on the file size.

Technically, you are limited to 256 GB per file, which is the file size limit on OneDrive. Microsoft Teams shares the attachments via OneDrive. This limit will likely change in the future as Microsoft updates file limits.

How to Send Photos and Pictures with Teams on Desktop

Adding pictures on teams from your desktop is extremely easy. Just open a chat group or team and click on the Choose attach file button.

That opens a file browser for your computer or OneDrive. Select the image(s) you want to send and hit enter.

Sending Pictures and Photos with Teams on Mobile and Tablet

Open a message and tap the photo icon below the compose box. You’ll be prompted to either take a photo with your phone or tablet’s camera or select one from your phone’s library or your cloud storage.

Sending Photos and Pictures via Copy Paste

Select the image(s) you want to send on your computer and either press Ctrl and C or right click and click the copy option. Then head to the teams chat, and either right click and select paste or press Ctrl and V. Hit enter to send. The best part about this method is that it lets you send multiple images at once.

Formats Supported by MS Teams

Thankfully, Microsoft Teams supports dozens of different file formats, including: 

  • JPEG
  • JPG
  • GIF
  • PNG
  • PANO

An excellent feature by Microsoft is that they let you preview hundreds of file types in Microsoft Teams, OneDrive, and SharePoint without needing you to install the applications for creating those file types. Microsoft Teams is an excellent productivity app for these reasons.

Advantages of Sending Files over MS Teams

Adding pictures on teams instead of using other apps is a great idea because Microsoft Teams was specifically designed to enhance and has many advantages.

Virtually No Size Limit

As mentioned above, MS Teams technically has an upper limit of 250GB, which is the limit of files on Microsoft OneDrive. This is a very high limit that’s extremely difficult to meet with most media.

So yes, you are technically limited in the size of files you can send. But in practice, the size limit is so high that you’ll be able to transfer virtually all of your files.

Fewer Emails

One of the best advantages of adding pictures over MS Teams is that it removes the restrictions of standard email server systems. You can send more pictures of a larger size over MS teams than you can by sending multiple emails. 

Also, sending files with MS Teams by storing files in the cloud saves bandwidth, which reduces the risk of your email being rejected or sent to the spam folder.

Integration with other Microsoft Tools

Integrating your photos and other files over MS Teams with other Microsoft tools is extremely easy. You can access different file types, like PowerPoint or Word, from your SharePoint or OneDrive and easily share them over Teams.

File Safety and Security

Microsoft Teams has excellent security measures. Microsoft Team has both team and organisation wide two-factor authentication, which ensures unwanted parties can’t access your chats. The app also has single sign-on through Active directory, which reduces chances for cyber attacks. And the app encrypts all data during transit, too.

The result is that your pictures won’t be stolen or compromised while being transmitted. Your organisation can rest easy knowing your data stays safe.

Sharing Pictures and Photos Via Teams Features

The best way to share pictures and photos over Microsoft Teams is by using the Teams feature.

What is Teams Feature

In this context, a team is a collection of people and their content and tools that work together to create a business outcome. A team could be your business department, the entire organisation, or a sub-group for a project. The Teams feature gives the group a shared chat and lets them collaborate in a single space.

Creating a Team in MS Teams

Follow these steps to create a team in Microsoft Teams

  1. Go to the left sidebar of Microsoft Teams and select the Teams button.
  2. A pop-up will appear, and you’ll want to select the ‘Create a team’ option. 
  3. Click on the ‘build a team from scratch’ option since it’s your first team. 
  4. You’ll receive the option to set your team as ‘private’ or ‘public’, depending on the privacy you want. The difference is that a public team lets anyone join, while a private team requires permission to join. 
  5. Create a team name and optional description. 
  6. Click on the create button. And you’re now the team owner. 
  7. Click on the ‘…’ symbol next to the team to access a drop-down menu and select the Add member option to add new members. You’re limited to 250 members per team. 

Share Pictures through Teams

Once you’ve either created a Microsoft Team or joined an existing one, you’ll be able to share pictures with the whole team. You can do that by clicking on the Team Name and hovering to the top centre left side, where you will see multiple tabs.

Go to the Files tab and click on Upload Files, then navigate to the folder that contains the image(s) you want to send.

If you click on ‘Get Link’, you’ll even receive a shareable link for your image(s).

Microsoft Teams is a great app, but it can sometimes be complicated to use, especially for new SMEs. That’s completely understandable.
